RUN-EU – Regional University Network.EU is committed to protecting personal data and respecting the right to privacy of every individual. The data is collected, used, processed and protected in accordance with the General Data Protection Regulation (GDPR) (2016/679) of 27 April 2016 and all applicable legislation.
Personal Data
Personal data is information that, directly or indirectly, relates to an identified or identifiable individual. For example, a name, a photograph, an identification number or any other specific identifying element provided for by law.
The Entity Responsible for Processing Data
The Polytechnic of Leiria is the entity responsible for the data collection and processing. The nature, scope, context and purposes for processing the data, as well as the risks about the individuals’ rights and freedoms, are taken into account, following the GDPR.
The Data Controller
RUN-EU – Regional University Network.EU – as a consortium made up of the entities informed below, is the data controller. The RUN-EU consortium is made up of the entities below, which will be jointly responsible for complying with the obligations of the GDPR, in accordance with Article 26.

Technological University of the Shannon (TUS), as co-controller of the processing of personal data, and in the manner deliberated with the other co-controllers, will be the entity responsible for responding to requests made by personal data subjects, as well as complying with the duty to provide the information required by articles 13 and 14 of the GDPR.

Collection of Personal Data
RUN-EU is committed to protecting the privacy of users of its services, carefully developing/using processes and technologies that offer the best guarantees of security and privacy.
Processing of Personal Data
RUN-EU respects the right to privacy and does not collect more personal information than that voluntarily provided by the user by filling out a form, or other legitimate means for this purpose. By providing personal data to RUN-EU, the user acknowledges and consents to such information being processed in accordance with this privacy policy and the processing of personal data. You also warrant that your information will only be used for the purposes set at the time of collection.
RUN-EU will collect and process data such as name, images and voices, curriculum, research area and academic path to be made available on its portals, with the sole purpose of promoting networking and knowledge sharing.
The data collected by RUN-EU will be based on the lawfulness of the free, informed and specific consent of the data subjects.
When the processing of personal data is necessary for a purpose other than that for which it was initially collected, RUN-EU must always request your explicit consent for such further processing.
Confidentiality
The information collected will be used by RUN-EU for the purposes determined at the time of collection or to comply with legal obligations. The information collected will be treated confidentially and may be accessed by a restricted group of RUN-EU members, to perform their professional duties, within the defined terms and only to perform their work duties.
Protection and storage of Personal Data
RUN-EU has implemented appropriate and necessary technical and organisational measures to protect the information stored in the system against access, use, alteration or destruction of personal data. Personal data will be kept for the minimum period required for the specific purposes of processing for which they were collected or otherwise processed, in accordance with the legislation in force.
Rights of Data Subjects
Data protection regulations give you the following rights in relation to the processing of your data:
- Right to information: You have the right to be informed in a concise, transparent, intelligible and easily accessible manner, in clear and simple language, about the use and processing of your personal data.
- Right of access: You have the right to ask us at any time to confirm that we are processing your personal data, to provide you with access to it and information about its processing, and to obtain a copy of such data. The copy of your personal data that we provide to you will be free of charge, although requesting additional copies may be subject to a reasonable fee based on administrative costs. From our side, we may ask you to prove your identity or request more information that is necessary to process your request.
- Right to rectification: You have the right to request the rectification of inaccurate, outdated or incomplete personal data concerning you. You may also request the completion of incomplete personal data, including through an additional declaration.
- Right to erasure: You have the right to request the erasure of your personal data when, among other reasons, the data is no longer necessary for the purposes for which it was collected. However, this right is not absolute, so our organisation may continue to keep them duly blocked in the cases provided for in the applicable regulations.
- Right to restrict processing: You have the right to request that we restrict the processing of your personal data, which means that we may continue to store it, but not continue to process it if any of the following conditions are met: for example, when you contest the accuracy of the data, for a period that allows the controller to verify its veracity;
- The processing is unlawful and opposes the erasure of the data and asks instead for the use of the data to be restricted;
- Our entity no longer needs the data for the purposes of processing, but you need it for the formulation, exercise or defense of claims;
- You have objected to the processing, while it is verified that the legitimate reasons of our entity prevail over yours.
- Right to data portability: You have the right to have your data transmitted to another data controller in a structured, commonly used and machine-readable format. This right applies where the processing of your personal data is based on consent or the performance of a contract and such processing is carried out by automated means.
- Right to object: This right allows you to object to the processing of your personal data, including profiling. We will not be able to enforce your right only when we process your data if we prove legitimate reasons for the processing or for the formulation, exercise or defense of claims.
- Right not to be subject to automated decision-making, including profiling: This right entitles you not to be subject to a decision based solely on automated processing, including profiling, which produces -such decisions- legal effects or similarly affects you. Unless such a decision is necessary for the conclusion or performance of a contract, is authorised by law or is based on consent.
- Right to withdraw consent: Where we have obtained your consent to the processing of your personal data in relation to certain activities (e.g. in order to send you commercial communications or promote RUN-EU on its social media channels and/or website, including activities in which you have participated and in which your image or voice appears. you may withdraw your consent at any time. In this way, we will no longer carry out that specific activity for which you have previously consented, unless there is another reason that justifies the continuation of the processing of your data for these purposes, in which case we will notify you of this situation.
- Right to lodge a complaint with a supervisory authority: You have the right to lodge a complaint with the National Data Protection Commission, Avenida D. Carlos I, 134, 1º, 1200-651, Lisbon, Portugal, (https://www.cnpd.pt/), or at the email address: https://www.cnpd.pt/cidadaos/participacoes/geral/.
You may exercise the rights set out above by sending an email to datacompliance@tus.ie, attaching a document proving your identity and providing the data necessary to process your request. Under what circumstances do we transfer your personal data to third countries?
The activity conducted by RUN-EU, from the outset, will not imply the transfer of your personal data to third countries – located outside the European Union or that do not belong to the European Economic Area.
However, even if this occurs punctually and always in the relationship that is established with other services used by the organisation. In such situations, all necessary and appropriate measures will be adopted to ensure the protection of your personal data.
Applicability
In general, this privacy policy and the processing of personal data apply to all services provided by RUN-EU, without prejudice to other policies, agreements and legislation that are applicable in more specific contexts of collection and processing of personal data.
Changes to the Privacy Notice
This Privacy Notice may be updated or changed at any time and without prior notice.
All updates to the Privacy Notice will be communicated by means of a notice on our Website so that such changes can be immediately appreciated.
